School Policies

In this section the school would like to share with you some important information in regards to the school’s policies and procedures. Our objective is to provide a safe, caring and stimulating environment in which students can learn and experience a broad and balanced curriculum. The school expects parents to support their child’s learning at home; value knowledge and skills that students acquire from the school and encourage students to understand and follow the school’s rules and regulations.

The School Year

The school has a standard three-term year and a five-day week, with a weekly total of 26 hours and 15 minutes of teaching time. The total teaching hour per year for the grade levels is 1047 hrs. This teaching hour is proportionally distributed over the weeks with an average session length of 40 - 45 minutes. Even though the strong emphasis is given to English, Mathematics and the Amharic language (for Ethiopian Nationals) appropriate time is allocated for all areas of learning. Student Attendance Policy

The school expects students to attend school regularly. Missing out on lessons leaves children vulnerable to fall behind. If a child couldn’t come to school for any reason, we expect parents to call the office and provide sufficient explanation. Primary level students cannot be absent from school for more than 10 days in a year without valid justification and authorization from the school. Frequent unjustified absenteeism can lead to expulsion from the school.

Please do not send your child back to school after an illness unless he/she has fully recovered.

Children Welfare Policy

FIS staff supervise children at the beginning and end of the school day, at break time, at lunchtime, when moving to and from the lunch area, and at all times during the day.

Drop off and pick up times are very important times when it comes to students’ safety and wellbeing. At the beginning of the school year, the school gathers full information regarding key people collecting students from school and provides school ID cards to designated people. Parents/ guardians are required to present the school ID card every time they come to collect child/ children from the school. Any other person other than specified on the list cannot collect a child from the school. If a person mentioned on the information list comes to collect a child for the first time, the school requests a picture ID to confirm the person’s identity. Parents have the responsibility to inform the school management in writing whenever there is change on the information provided on “student information file”. Such changes include change of telephone number, emergency contact person, allergies or information on person collecting child after school.

Daily schedule

Unless otherwise notified, the regular school day schedule is as follows:

  • For PREP II and Grade level students:
    • Class starts at 8:15 A.M.
    • Class ends at 3:00 P.M.
    • Pick up time from 3:00 to 3:30 P.M.
  • For Prep level students
    • Class starts at 8:30 A.M.
    • Class ends at 2:30 P.M.
    • Pick up time from 2:30 to 3:00 P.M.
  • For Nursery and KG level students
    • Class starts at 8:45 A.M.
    • Class ends at 2:30 P.M.
    • Pick up time from 2:30 to 3:00 P.M.

Parents/ guardians with students attending different class levels should communicate with the school in regards to pick up and drop off time.

Uncollected Child Policy

Parents/ guardians wishing to collect their child/ children later than the upper mentioned pick up time should communicate with the office in regards to the available “extra-­‐curricular activities” or “afterschool care service” organized by the school. All afterschool services end at 5:00 pm and children should be collected before or by 5:00 pm. If a child is not collected by 3:30 pm (regular day schedule) the school will enlist the child for an after school care service and parents will be informed as to the cost of after school care fees and billed accordingly. Late collection fees should be settled within one week. The school will attempt to notify parents of the child/children not collected on time. If parents are not able to be contacted within an hour from the end of school day emergency and all alternate numbers on the “child’s information file” will be contacted within the next hours.

Good Behavior Policy

Our school places great consideration on children’s Social and Emotional Aspects of Learning -­‐ empathy, self-­‐awareness, managing feelings, social skills, and motivation. We aim to develop independent young people who are confident, flexible and able to co‐operate with others.

Any form of behavior that threatens the safety, happiness or concentration of other children is not acceptable in the school.

Class teachers will clearly display classroom and playtime rules and will always reinforce positively.

Students are constantly encouraged to comply with school rules. Rewards may be given appropriately and by taking into consideration individual child behavior. The reward may vary based on the situation and can be applause, verbal recognition, child of the week, sticker, display child’s work, school award, etc. theses awards will be given both for academic and behavioral achievements.

For students not complying with school rules, the first step will be to assist the child in understanding the rules and their meaning. Students will also be given the opportunity to observe proper behavior within the school compound. Time out can be given to a child to help the child reflect on his/her unwanted behavior. It is important that the school’s code of behavior is clearly understood by students and parents with whom the school aims to form a close working partnership.

When persistent behavior problems are encountered students will be referred to the school management team. And the school management will be kept informed and involved as a last resort. When the school has concerns about a child, parents will be informed and enlist their support in helping the child overcome his / her difficulty. The school will inform parents about the steps being taken in school and provide regular reports on progress. Staff members will closely monitor students exhibiting repetitive behavioral problems and parents will be consulted in this regard. In case of a serious incident (for example, bullying, verbal abuse, theft, physical violence, disruption of the teaching/ learning process, bringing harmful or unauthorized substances to school etc…) investigation will be led by members of the school management team. Such serious incidents may result in temporary or permanent exclusion from Flipper International School.

There is no corporal punishment at Flipper International School. The school emphasizes the positive approach of encouragement, praise, and reward. It is the school's belief that criticism should always be constructive and helpful and that the pupil clearly understands the cause of concern.

Flipper School’s expectations:

a. General

  • Students should be polite and courteous to both adults and other students.
  • Students should respect property – each other’s and that of the school and staff.
  • Students should show consideration for others.
  • Honesty should always be encouraged.

b. In the classroom

  • Students should be aware of and adhere to class routines and rules so that everyone can tackle tasks in a quiet, orderly way without interference from others.
  • Attentiveness and hard work should always be encouraged, as is the care of equipment and valuing the work of others.

c. Moving around school

  • Students are advised of the need to walk quietly around the school, to reduce the disturbance of others who are working.
  • Students moving around by themselves are expected to keep out of certain areas, (e.g. staff room, staff toilets, storage areas, etc).

d. Playground

  • All students should be on the playground at break-­‐times unless they have permission to be elsewhere.
  • All students should wear comfortable shoes at all times.
  • Students should wash hands after each playtime and before class times.
  • Playground equipment is shared among school children. Students are expected to take a turn, show respect, and avoid play or movement that may harm others. Play should be sensible and safe.

e. Toilets

  • Students should use the allocated toilets.
  • Washing hands is mandatory after using toilets.
  • Students are encouraged to use toilets at the end and start of playtime and at the end of sessions.
  • Toilet attendants are always on-site to clean toilets after each use and assist students whenever needed.

f. Snack and Lunchtimes

  • Parents are encouraged to pack healthy food and drink for snack and lunchtimes.
  • Lunch boxes and water bottles should be in a plastic container and tightly secured for no-spill.
  • Lunch boxes and water bottles should be kept clean and clearly marked with child’s name.
  • Children are encouraged to drink plenty of water through the day to avoid dehydration.
  • DO NOT SEND – Peanut or food containing peanut product for snack or lunch.
  • Sweets, other sweet foods, chewing gum and fizzy drinks should not be brought into school.
  • Students are not allowed to share food and drink at school except on special occasions.
  • Parents should inform the school in writing in regard to serious allergies.
  • Teachers will supervise snack and lunchtimes.
  • School attendants and playground supervisors will supervise lunchtime and playtime after lunch.
  • Report on irregularities during these times will be passed on to class teachers.
  • Students are expected to display good table manners.
  • Students should dispose of unwanted bottles, juice boxes, tissue papers, and wastes in the bins provided, both in the classroom and the playground.

g. School Uniform

  • Prep II and Grade level students should wear the designated school uniform at all times.
  • Sportswear should be worn for PE classes (students are allowed to come to school wearing the specified sportswear).
  • Clothing should be clean and in good condition.
  • Shoes should be polished and cleaned regularly.
  • Students are not allowed to bring or wear valuables, jewelries, and toys to school. The school is not responsible for any lost or missing items.
  • Girls should not wear any form of make-­‐up including nail varnish.

h. Punctuality

  • Punctuality is expected from all children. Latecomers should report to the Office. Office staff will accompany late coming students to class.
  • Parents will be contacted for frequent latecomers and written warning will be issued.

i. Bullying

Bullying is one person or a group of people exercising power over another, which results in intimidation. It can take a wide variety of forms, e.g. physical hurt, verbal abuse, emotional assault, etc.

It is our moral responsibility as a school to address the problem. People are not born bullies; bullying is a form of behavior, which develops, and therefore the "bully" is also a person in need of some help. In this regards:

  • The behavior of the bully will be monitored, with their knowledge. Other appropriate adults (teachers, classroom assistants, lunchtime supervisors) will be informed to support both the victim and the bully and help in the monitoring process.
  • Appropriate sanctions may be used against the bully where no effort to modify bullying behavior is observed. They may include extra supervision at lunchtimes, missing playtime, etc.
  • Parents of a child bullying others will be informed at an appropriate time depending on the nature of the incident(s) and children involved.
  • Parents of the victim will be informed of the situation and steps being taken to support their child.
  • Bullying may result in temporary or permanent expulsion from FIS.

j. The school expects parents to reinforce positive behavior among students and display exemplary behavior in the school vicinity.


As students of the Nursery and KG classes are often involved in messy activities, we advise parents to dress their child in comfortable and appropriate clothes. Change of clothes may be brought on a daily basis or left at school. If your child is not potty trained, please send her/him with clean diapers and wipes. All children’s belongings should be clearly labeled with the child’s name.

School Uniform

Prep II and Grade Level students are required to wear school uniforms regularly.

Sick Child Policy

Up to date information is kept on parent/guardian contact details including mobile phone numbers, alternate phone numbers, and emergency contact numbers. To avoid cross infection and the spread of diseases from child to child/adult, parents should refrain from sending their child to school after an illness unless fully recovered.

If the teacher or caretaker notices unusual situations in regards to a child’s health at drop off time, parent will immediately be notified to pick the child and attend a doctor. If the situation is observed during the day, the class teacher/ assistant teacher will notify the school management. If necessary, the child will be placed at the school’s sickbay/ office, and parents will be immediately contacted. If a child suffers from fever, fever-reducing medication and cold compress will be administered after checking the child’s medical allergy from the child’s information file or upon consultation with the parent. If the school is unable to contact parents/ guardians, the emergency contact person will be informed. For an emergency situation, the child will be taken to the nearest pediatric center and the parent/ guardian or the emergency contact person will be informed simultaneously.

Medicine Administration Policy

To administer medicine at school, the parent/ guardian should provide written permission and information on medicine, dosage and time of dosage to the school administration. This information together with the child’s name will be attached to the medicine and stored out of children’s reach (refrigerator may be used if required). A copy of this information will be provided to the class teacher – and the class teacher will take the responsibility of administering the medicine as per the information. The medicine administrator will record the time and dosage provided throughout the day. This information together with the medicine should be returned to the parent at the end of the day. Parents are responsible for the disposal of unused medicine.

Accident Handling Procedure

For minor injuries, the school nurse will provide first aid treatment, and parents will be informed on the situation and the first-aid procedure undertaken. For major injuries, the school nurse will immediately respond with first aid treatment and at the same time parent will be contacted in order to take the child to the hospital. For an emergency situation, children will be taken to the nearest pediatric hospital and at the same time, a parent/ guardian or emergency contact person will be contacted and will be informed about the situation.

Birthday Celebration Procedure

Students at the early years level may celebrate their birthdays at school without affecting regular teaching time. Such celebrations must be short and simple. To celebrate a child’s birthday at school, the parent must inform class teachers at least a week earlier and follow the guideline and schedule provided. Teachers facilitate the celebration and may cancel programs that did not follow provided schedule time and guidelines. The school allows birthday cake, juice or water for a birthday celebrations. Other party items such as party bags, whistles, lollipops, candy, chocolates... etc. are not allowed. The school doesn’t allow primary level students to celebrate their birthdays at school.

Transfer policy

Priority is given to attending students to transfer from one FIS branch to another FIS branch. Parents are required to give a written transfer notice to the school office the student is attending. The office will forward the transfer request to the requested FIS branch and inform parents when space is available.

Payment Policy

The school has three terms a year and payment is settled according to the following schedule:

Registration, first term, and material fees are settled in advance upon registration – Payment schedule – May 1 to May 30;

  • Second term fee: payable from November 1 to November 10;
  • Third term fee: payable from February 1 to February 28.
  • School tuition, registration and material fees are not refundable or transferable.

Re-registration for currently attending students and siblings is from January 15 to February 15. Students continuing their education at Flipper International School should re-register annually and settle the re-registration fee in addition to material and term fees as per the payment schedule indicated above to confirm their enrolment at the FIS.

The school offers different afterschool activities and student support programs. Those programs are separate from the regular classes and are subject to an additional payment. You can enroll your child in such programs by giving your consent and settling the specific payment in advance. For detailed information on available programs and applicable fees, please contact FIS branch office.

Late Payment Policy

The school expects all parents to follow the payment schedule stated under article 16 above. However, if payment is not settled accordingly, the following late payment policy will be applied.

- Registration, Re-registration, Material fee, and First term fee must be paid in advance on or before the end of May (of the previous school year). If the required payment is not settled by the given deadline, the school has full right not to enroll the student for the coming academic year.

- In regards to the Second Term and Third term payments:

  • An additional 10% penalty will be applied on fees not settled as per the payment schedule stated under article 16 of this document.
  • If payment is not settled by the 5th day of the beginning of the term, the school will be forced to suspend the student from school until such payment is settled.

Communication Procedure

The nursery and KG classes have “My day at FIS booklet”. This booklet is filled in by the class teachers on a daily basis to inform parents about the child’s day. An incident/ accident and notice slips will be added when necessary. Parents are encouraged to communicate with teachers using this booklet. Parents/ guardians can also hold a one to one meeting with the class teacher by scheduling an appointment at the office.

For Prep and Grade level classes, general notices, weekly overviews, and homework will be posted on the student’s “communication booklet”. Parents should sign notices and send back communication booklets to school every day. Parents can also use the “communication booklet” to communicate with class teachers. Grade students write their homework assignments on this booklet and parents are expected to check daily to assist and encourage students to accomplish the assignments. In addition to this, parents can schedule an appointment with the class teacher to discuss the child’s progress and education at school. At times, the school calls for a one to one meeting with parents/ guardians to discuss the child’s progress, development, and behavior at school. It is mandatory that parents/ guardians attend such meetings. If parents/ guardians are unable to attend such meetings after three consecutive reminders, the school will be forced to suspend the child from school until the issue gets resolved.

All formal communications between the school and parents/guardians should be in writing. Important communications should be directly addressed to the school administrator and submitted at the office. Orientation Programs to Parents/ Guardians

The school organizes orientation programs to introduce class teachers and provide an overview of the annual lesson plan at the beginning of the school year. The main purpose of this orientation program is to engage parents/ guardians in their child’s education and establish good communication between parents, teachers, and the school management. The orientation program schedule will be notified to parents/ guardians in due time and attendance is mandatory.

Complaint Procedure

Our school prides itself on the quality of the teaching and care provided to its students. However, if parents/ guardians or students have complaints, they can expect it to be addressed by the School in accordance with the following procedure.

It is hoped that most complaints and concerns will be resolved quickly and informally. If the complaint cannot be resolved on an informal basis, then the complainant should put their complaint in writing to the School Management. The School Management will decide, after considering the complaint, the appropriate course of action. In most cases, the school management will speak to the complainant within a day of receiving the complaint. If possible, a resolution will be reached at this stage. Otherwise, it may be necessary for the school management to carry out further investigations.

Complaints made directly to the school management will usually be referred to the relevant class teacher, assistant teacher, or class attendant unless the school management deems it appropriate to deal with the matter personally.

Withdrawal Procedure

To withdraw child/ children from the school, parents/ guardians should give written notification to the school administrator at least a month ahead from the last day of school. Upon receiving such a letter the school administrator will issue payment requests for any outstanding school fee, library book, unreturned or lost school material, outstanding extra-curricular or after school care service fees. Progress report and/or letter of recommendation will only be provided when all fees are settled and all school materials returned. If parent or guardian doesn’t follow the re-registration process at the end of each school year as per the instruction and deadline stated in this document, the school assumes a voluntary student withdrawal and removes the student’s name from the student list.


The school will distribute notices and forms occasionally to inform parents on new regulations, school events or any additional information. Please read carefully the notices we send and contact our office if necessary.
